Wage rate: $22.50-$23.00

Position Overview: 

The Executive Assistant/HR Admin provides comprehensive administrative support the HR Admin/Executive Assistant to ensure the smooth and efficient operation of the Human Resources Department and of other town departments.  The Assistant handles a wide range of tasks, including clerical duties, project assistance, and communication management, all aiming to support the Town’s productiveness and effectiveness. The ideal candidate is proactive, organized, able to manage multiple tasks and work collaboratively with the HR Admin/Executive Assistant.

Key Responsibilities:

Administrative Assistance:

  • Performs general office duties such as data entry, filing, preparing documents for distribution, proofreading, editing and copying documents.
  • Assists with scheduling and coordinating meetings, appointments, interviews and events, ensuring all logistical details are handled.
  • Collaborates with HR Admin/Executive Assistant with internal and external communications, responds to inquiries and relays messages promptly and professionally.
  • Provides support in payroll set up and proofreading preregisters.
  • Supports various projects by conducting research, compiling data, and assisting with project coordination.
  • Assists with compiling paperwork for grants.
  • Sorts and delivers mail.
  • Assists with special projects and other duties as assigned by supervisor.

Bethany Bulletin:

  • Creates a monthly newsletter with submissions from local boards and commissions, and town departments.
  • Edits and proofread newsletters for grammar, punctuation, spelling and style.
  • Works in partnership with local boards and commissions and department heads to ensure deadlines are met.
  • Organizes layout and select photos etc., for the bulletin.
  • Reaches out to local businesses to procure ads, collect applicable fees and update information as requested.
  • Works with local printers to make sure the publication is on time and cost efficient

Qualifications

  • High school diploma or equivalent; associate's degree preferred.
  • Previous experience in an administrative or support role is advantageous.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent written and verbal communication skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Ability to work independently and as part of a team.
    • High level of discretion and confidentiality
    • Strong attention to detail and accuracy
